Castle School Education Trust (CSET) is seeking an experienced supplier to deliver comprehensive cleaning services across seven schools in the South Gloucestershire and Bristol area. The schools included within the tender are:

Contract Terms
The contract commenced on 1 January 2022 for an initial three-year term, concluding 31 December 2024, with an option to extend for a further two years at the governing body’s discretion. It is fixed-price in nature, with the successful supplier guaranteeing both the number of input hours and the quality of cleaning provision throughout.
Scope of Services
The contract covers all cleaning provision across all school buildings within the Trust. The annual service requirement is structured around 190 academic days, 5 INSET days, and 20 days of periodic deep cleaning, totalling a standardised 43-week contracted year for cleaning staff. This represents a rationalisation of existing arrangements, where staff contracts currently range from 41 to 52 weeks across the various schools. The successful supplier will be required to evidence their HR capability and provide a detailed implementation methodology to manage this transition effectively.
Performance & Reporting
The supplier will be expected to deliver concise monthly management reports to Trust and school senior leadership teams, providing updates on contract performance. Monthly charges will represent one-twelfth of the total contract cost, with a monthly reconciliation to ensure actual hours worked align with those budgeted. Where hours fall short, a credit will be required by the client.
The supplier must maintain a robust system to cover both planned and unplanned staff absences, ensuring the contracted hours are delivered at all times. Any contract variations requested by the client will be invoiced at an agreed hourly rate, to the satisfaction of the contract supervising officer.
Standards & Compliance
The successful supplier must promote a clean, healthy, and safe environment across all sites, maintaining compliance with health, safety, and environmental standards at all times. Services must be delivered without disrupting the routine of the schools, presenting a positive image to all users and visitors.
Supplier Requirements
CSET is seeking a supplier with demonstrable, current experience in the primary or secondary school cleaning market, ideally with a strong operational base within the Bristol area to ensure adequate contract support and operational flexibility throughout the contract term.
