Bid Management for Cleaning and Healthcare Tenders
Good bids fail on process, too
A strong answer is worth little if the finance sign-off arrives after the deadline, a mandatory document is missing or the portal upload fails with ten minutes to go. Bid management is the project management of a tender: planning it, coordinating the people who contribute, controlling the documents and getting the submission in.
We do that for you, so your team can keep running the business while the bid moves forward.
What’s included
A bid plan and timeline, built backwards from the submission deadline
Clear roles, and a schedule of what we need from operations, finance, HR, quality and health and safety, and by when
Document and version control, so everyone works from the latest draft
Compliance tracking against every requirement in the tender
Management of clarification questions and buyer responses
Coordination of pricing and sign-off alongside the written submission
Internal review rounds before submission
Portal upload, final checks and confirmation of submission
Support after submission, such as clarifications or presentation preparation
How it works
Scope and plan. We review the tender pack, agree what you need from us and build the timeline.
Kick-off. We brief your contributors, assign tasks and set the dates.
Run the bid. We chase inputs, track compliance, manage clarifications and keep every document under control.
Review and sign-off. We organise the review rounds and the final approvals.
Submit. We run the final checks and the portal upload, then confirm the submission is complete.
Bid management or tender writing?
They are different jobs, and many clients use both. Tender writing produces the answers. Bid management runs the process around them.
- If you have no in-house bid team, combine the two and we handle everything.
- If you have writers but no time to coordinate, choose bid management on its own.
- If you just need the answers written, choose Tender Writing.
Managing cleaning bids
Cleaning tenders usually involve many people and many moving parts. We coordinate:
- Multi-site schedules, specifications and pricing models
- Site visits and clarification deadlines
- TUPE data requests and staff information
- Subcontractor and supplier inputs
- Mobilisation plans that line up with your operations team

Managing healthcare bids
Healthcare bids draw on evidence from across a care organisation. We coordinate:
- Inputs from registered managers, HR, quality and finance
- CQC and Ofsted evidence, policies and inspection reports
- Sign-off of safeguarding, recruitment and training policies
- References and case studies, with consent where needed
- Multiple lots, rates and pricing
- Framework and DPS applications, including rolling windows and mini-competitions

When bid management makes sense
- You are bidding for more than one contract at once
- You are a first-time bidder with no in-house bid team
- The deadline is tight and your team is already stretched
- You are responding to a framework or mini-competition with several lots
- Past bids have slipped on timing, sign-offs or missing documents
